Job Description – PRN Registration Clerk

Job Summary

The PRN Registration Clerk serves as the first point of contact for patients, visitors, and external parties within the Medical Clinic, Emergency Department (ED), and Hospital Front Desk. This position is responsible for providing exceptional customer service while performing patient registration, insurance verification, scheduling assistance, financial collections, and general administrative support. The Registration Clerk ensures that patient demographic, insurance, and billing information is accurately collected and entered into the appropriate systems in a timely manner.

As a PRN employee, this role requires flexibility to work in multiple registration areas and adapt to varying patient volumes, workflows, and departmental needs. The Registration Clerk must maintain professionalism, confidentiality, and a patient-centered approach while supporting the organization's mission and values.

Essential Functions
Strictly adheres to all HIPAA, CMS, EMTALA, and organizational policies and procedures.
Greets patients, visitors, and guests with courtesy, professionalism, and compassion.
Performs accurate and timely patient registration, admission, and check-in/check-out processes for clinic, emergency, and hospital services.
Prioritizes and responds appropriately to patients presenting with urgent or emergent medical needs.
Collects, verifies, and updates patient demographic, insurance, and guarantor information.
Verifies insurance eligibility, benefits, authorizations, and certifications as required.
Collects patient financial responsibility, including co-pays, deductibles, and outstanding balances, and provides appropriate documentation and receipts.
Answers, screens, and routes incoming calls using a multi-line telephone system.
Schedules, reschedules, and confirms appointments as assigned.
Maintains registration accuracy and performs audits to ensure data integrity and compliance.
Assists patients and visitors with directions, wayfinding, and general information regarding hospital and clinic services.
Provides support for patient admissions, transfers, and discharges as assigned.
Communicates effectively with physicians, nurses, ancillary departments, insurance representatives, and other healthcare personnel.
Maintains patient confidentiality and safeguards protected health information at all times.
Supports departmental operations by performing additional clerical and administrative duties as assigned.
Demonstrates flexibility by working in multiple registration areas, including the Medical Clinic, Emergency Department, and Hospital Front Desk.

Maintain a minimum registration accuracy rate of 95%.
Demonstrate dependable attendance and punctuality.
Meet established patient payment collection goals.
Minimize registration errors, overtime, and supply waste.
Maintain compliance with all HIPAA, EMTALA, and organizational standards.
Contribute to positive patient satisfaction outcomes through professional and courteous service.

Internal and External Customers Include:
Patients, family members, visitors, physicians, nurses, clinical staff, administrative personnel, insurance representatives, vendors, and community partners.

Minimum Qualifications
Education and Experience
High school diploma or GED required.
Minimum two (2) years of healthcare registration, patient access, medical office, hospital admitting, or customer service experience preferred.
Previous experience in a clinic, hospital, emergency department, or physician office setting strongly preferred.
Technical Competencies
Proficiency with computer systems and data entry applications.
Experience with Electronic Medical Record (EMR) systems preferred.
Knowledge of insurance verification and healthcare registration processes preferred.
Familiarity with medical terminology strongly preferred.
Ability to operate standard office equipment including copier, scanner, fax machine, printer, and multi-line telephone systems.

Performance and Physical Requirements

Ability to type a minimum of 60 words per minute.

Ability to work effectively in high-volume and occasionally stressful healthcare environments.
Must possess functional hearing, vision, and speech abilities, with or without reasonable accommodation.
Ability to interact effectively with ill, injured, elderly, emotionally distressed, or upset individuals.
Ability to maintain composure and professionalism during emergencies and difficult situations.
Must speak, read, and write English clearly and effectively.
Ability to lift up to 30 pounds and push/pull equipment or supplies as necessary, with or without reasonable accommodation.
Demonstrates flexibility, reliability, and independent judgment in carrying out assigned duties.
PRN Position Requirements
Works on an as-needed basis to support staffing needs in the Medical Clinic, Emergency Department, and Hospital Front Desk.
Must be available to work varying shifts, including weekdays, weekends, holidays, and occasional evenings as needed.
May be required to float between departments based on patient volume and operational needs.
Must successfully complete department-specific orientation and training requirements.
