Ambulatory Clinics Manager
Job Summary
The Ambulatory Clinics Manager provides comprehensive operational leadership for all Cedar County Memorial Hospital ambulatory clinic operations, including the Medical Mall (RHC) and the Hospital-Based Specialty Clinic. This position is responsible for clinic staffing, daily operations, provider scheduling coordination, financial and compliance oversight, supply chain management, quality integration, and ensuring survey readiness under CMS Conditions of Participation for Critical Access Hospitals (CAHs) and Rural Health Clinic
________________________________________Core Responsibilities
Duties include but are not limited to:
• Provides daily leadership, supervision, coaching, and performance evaluations for all staff across the RHC and Specialty Clinics
• Oversee hiring, onboarding, competency validation, cross-training, staff schedules and timecard oversight
• Ensures staffing models are redundant through cross-training and multi-site support to maintain continuity of operations
• Promotes a positive, respectful team culture and collaborates with ancillary departments to support clinic operations
• Manages provider templates, session availability, clocked time, outreach/specialist days, and room utilization for both clinics
• Coordinates schedule changes, cancellations, urgent add-ons, and communication workflows
• Monitors access metrics, no-show rates, and appointment availability for continuous improvement
• Ensures full compliance with the RHC Conditions for Certification including organizational structure, staffing, clinical operations, documentation, physical environment, emergency preparedness and the biennial program evaluation
• Coordinates with Quality and Compliance to maintain continuous survey readiness, including documentation, audits, chart reviews, and participation in survey process
• Ensures operational alignment with requirements related to provider-based status, including administrative and clinical integration, unified governance, and communication to patients regarding billing practices
• Ensures efficient and safe patient flow from check-in to checkout
• Monitors productivity, patient volumes, receivables, and operational KPIs.
• Supports EMR optimization, workflow builds, and staff/provider EMR training.
• Monitors charge capture processes, assist with denial resolution workflows, and supports revenue cycle operational work.
• Coordinates community outreach activities with administration and marketing
• Conducts routine walkthroughs and audits to identify and mitigate areas of risk
• Ensure staff participate in and support the facility’s QAPI program
• Oversees incident reporting, complaint follow-up and documentation for the clinics
• Participates in or leads quality improvement projects for access, efficiency, documentation accuracy, and patient satisfaction
• Ensures quarterly requires safety events (fire drills, etc.) occur and are documented
• Oversees clinics supply ordering, standardizes par levels, and monitors supply costs
• Coordinates with maintenance needs, environmental checks, and readiness of equipment
• Reviews and monitors of clinics budgets performance and P&L trends
• Tracks statistical data such as payer mix, patient volumes, service utilization, and quality indicators
• Supports leadership by providing reimbursement insights related to provider location
• Ensure clinics follow CAH and RHC emergency preparedness plans, including staff training, downtimes procedures, and drills

Qualifications
• Associate degree in healthcare, business, or related field preferred
• 2 years of supervisory or clinic operations experience
• Experience developing and presenting staff education programs
• Skilled in data analysis, reporting, and policy interpretation
• Ability to work independently and manage multiple tasks
• Proficient in EMR systems and Microsoft Office
• Experience in Critical Access Hospitals and Rural Health Clinics preferred
• Strong interpersonal and communication skills.
• Ability to engage effectively with patients, families, payors, and interdisciplinary teams.
• Working knowledge of healthcare reimbursement and community resources.
• Excellent organizational and time management skills with ability to manage multiple priorities.
• Compassionate approach to patient and family advocacy
Physical and Environmental Requirements
• Ability to stand, walk, sit, bend, kneel, stoop, twist, push, and pull for extended periods
• Able to lift up to 25 pounds with or without assistance
• Must be able to handle stressful situations in a professional manner
• Normal hearing, vision, speech, and motor function necessary for role performance
• Primarily an indoor position in a climate-controlled environment
• Must tolerate clinical environments, including exposure to odors, sights, and conditions associated with infection and use of personal protective equipment (PPE)
